[epicdown] REMINDER: Laboratory Systems Downtime Notification for Beaker Cutover: Saturday, June 21st, 2025, starting at 00:00 (12:00am)

On Saturday June 21st starting at 0000 (12:00am), the Laboratory Information Systems (LIS) will transition from Sunquest to Epic's Beaker LIS.  The Sunquest Blood Bank system will not transition to Beaker but will be upgraded during this time.

Please note that while Epic will remain operational, lab orders cannot be placed during this Laboratory Systems Downtime.  Detailed information regarding the impact on specific workflows are provided below.

An email notification will be sent when laboratory and blood bank orders can resume in Epic following the completion of the Beaker transition.  Thank you for your patience and understanding during this important system upgrade.

Providers:

  *   Use downtime paper forms for any necessary Lab and Blood Bank test orders.
  *   Lab and Blood Bank orders will be blocked from signing in Epic during the downtime
Nurses:

  *   The 'Lab Collect' button will be removed from your toolbar during the cutover.
  *   During this downtime, a requisition can be printed from Epic for standing orders and sent to the lab with the specimen
  *   Any new order must be accompanied by a downtime form
All Laboratory Systems Will Be Down, including:

  *   Sunquest & Sunquest Blood Bank
  *   CoPath
  *   Collection Manager (Lab Collect)
  *   Point of Care (POC) results (devices can be utilized, however they will not transmit results to Epic or Glucommander)

Affected Workflows & Key Downtime Procedures

  *   Lab Results to Epic:
     *   All STAT results will be faxed.
     *   All Critical results will be called.
  *   Collection Manager
     *   Will not be available.
     *   Lab Tasks will appear on worklists but will not drop off due to LIS downtime
  *   Point of Care (POC) Testing:
     *   Devices can still be used, but results will not transmit to Epic or Glucommander until the cutover is complete.
     *   Testing may require a Downtime Override for patient identification.
     *   Ensure all instruments are re-docked after the Beaker go-live to transmit results.
     *   Document results using:

     *   Blood glucose results must be manually entered into Glucommander to receive dose recommendations.
