SecureChat is a new communications tool that will be available this Wednesday (tomorrow). 

 

This tool is available to all Epic users and can be considered an alternative for text messaging (or other secure messaging tools) where appropriate. 

 

This tool should not be used for code or emergent communication where time is of the essence. For these messages pagers, direct phone calls, vocera and overhead systems are more appropriate. 

 

SecureChat is similar in function to text messaging except that messages are originated and read in Epic. Messages can be sent or read from within Epic on a computer. Messages can also be sent and received from a phone (like text messages) using Haiku. Unlike text messaging, these messages are fully secure and HIPPA compliant. One advantage to text messaging is that charts can be linked to messages allowing for the recipient to easily open and access the patient record. 

 

Guidelines for using SecureChat:
Do not use for code or emergent, time sensitive messaging. Other options are more appropriate.
Not all users will wish to use SecureChat. Please continue to use their preferred method at this time (example: some will continue to want to have all communication sent over pagers). 
If you send a message using SecureChat, it is your responsibility to ensure it was received. All messages have a “read” indicator that will let you know the recipient received and read the message. If you do not see the message has been read in an appropriate timeframe, it is your responsibility to attempt to send the message in different format. 
Please be aware that messages sent with SecureChat are not part of the medical record and are purged after 72 hours. Please ensure any necessary documentation is placed into the EMR. 
If you are a user of SecureChat, you can set your availability status (Available, Busy, Unavailable). Use of this feature will help others know if you should be sent messages with this tool. Messages can also be forwarded to other users, if necessary, for some period of time. 
Finally, this new tool is just one of several tools available for communication. If there is any doubt if you should use this tool for a particular message, please consider other tools available (such as pagers or direct calls).

Haiku Hints
Haiku is an easy way to send and receive messages- make sure to move the SecureChat button to the front screen to make it easier and faster to find. (In Haiku click “more”, then “edit”, then drag SecureChat to the bottom of the screen.
If you are using Haiku for SecureChat- make sure to go to settings within SecureChat (top right of the chat screen) to set an alert tone that will get your attention (there are a number to choose from) and set the time delay for a reminder notification if you don’t answer the text right away. Also make sure that you allow SecureChat  to send push notifications. 
Bonus- on iPhones, go into settings and then notifications- set the notifications for Haiku to be persistent so they remain on your screen until you answer them. 
Providers: If you don’t have Haiku on your iPhone or Android device- download from your app store and call the help desk for set up information (they will need a code from your app)
