Integration of Epic and Outlook

I am excited to share that you can now integrate certain Epic schedules into your Outlook calendar. This will help you plan your day more efficiently and help others trying to schedule meetings know when you are free or busy.

The option is located under the Epic menu. In the Epic menu, choose "My Settings" and then "Outlook Settings". Alternatively- use chart search at the upper right of the screen and type "outlook".

You will have 3 primary types of information you can choose from to integrate into Outlook:

  1.  Ambulatory (clinics) providers
     *   Show each scheduled visit on your calendar.
     *   Show templated time you see patients (time you are scheduled in the clinic).
  2.  Providers that schedule cases in the Optime (the OR) including surgeons, GI docs, and other proceduralists.
     *   Show all scheduled cases in your calendar.

Note there are some caveats:

  1.  Your name needs to be on the cases or visit to show up on the calendar. This will not work for many resident workflows.  Future enhancements will allow for shift scheduling that will help this.
  2.  The information flow is one way: Epic to Outlook.  If you were to add a note to an appointment that note will be lost with a change in the schedule as the information from Epic will override any changes you might make.

Finally, please note that all information sent to your calendar is de-identified.  You might see that you are doing a case at 1 pm but the patient's name will not be on the entry. To see that information, you will need to look in Epic (either full Epic or Haiku).
