Good afternoon!

I originally sent a private reply to Rachel, Denise, and Olivia about this topic.  I did this because I wanted to suggest using the UNYOC Gmail account, but I thought it would cause some consternation if I did that.  I guess I was wrong to be concerned! Now that others have started the conversation, here are my thoughts from my private email:

My first thought when I read Rachel's email is that we have a UNYOC Gmail account that could be on the website. I quickly realized that this is not necessarily a helpful point to bring up.  There are too many unknowns regarding who has access to that inbox (I do; does anyone else?), how often is it checked? (and so on).

The reason that I'm raising this point with you is that I think this is something that we should talk about; just the 3 of us or as an executive.  We've had discussions in the past about the pros and cons of having our work email addresses out on the open web. If we were to make better use of the UNYOC Gmail account, then we might be able alleviate any concerns that folks have about this issue.  We need the Gmail account to keep the Google Drive account active, so here is my pitch.

I am willing to write up a new section for the Policies and Procedures manual that explains that this Gmail account exists, who should have access, and how to maintain password security as each new Executive Board is elected. I can even get fancy! There's information on how to be very specific about forwarding gmails to other accounts; if I'm understanding it correctly, I can set up the account so that emails about specific subjects (membership, awards, etc.) go to specific individuals.
Once I have a draft ready, I can make it available for peer review; whether it's reviewed by the whole board or just a handful of us.

I can work with Eldiflor to create the proposed draft, if we end up moving in this direction.

I like Eldiflor's suggestion for the Contact Us page using the mla.unyoc at gmail.com<mailto:mla.unyoc at gmail.com> address. I also agree that certain officers should have their contact information listed publicly. (Mine is listed in the context of the Poland and professional development awards).

Officers who don't want to be listed publicly, should have their contact information listed privately. For the awards I have had to contact our Communications and Membership Chairs, our Treasurer, and Webmaster. It's not always easy to find a current email address.

Hi,

I think it would be worthwhile to have a "Contact Us" page and could we use the "mla.unyoc at gmail.com<mailto:mla.unyoc at gmail.com>" on the contact us page as our general public inquiries email. As the communication's officer I could monitor the email's inbox and reply or forward it off to the appropriate chapter officer. Any thoughts on this?

Hi everyone,



Beth Mamo brought to my attention that we don't currently have an obvious way to contact anyone except her on the new site. Previously, most if not all Chapter Officers had contact information listed on the directory page. I could do the same with WA by changing each Officer's privacy settings per their preferences, but maybe having a specific Contact Us page for the "public face" of UNYOC would be valuable. Does anyone else agree?



I'm envisioning something with a few names for specific roles that might interact with the public (ex. For conference info email here, for member info email here, for site info email here, etc). I *could* make it only accessible to members, but then potential members or vendors who do not have a WA account will not be able to find it. If we did make that page, whose name(s)/information should be on it? Please let me know your thoughts!
