[board-unyoc] UNYOC Executive Summer Meeting: Agenda and Documentation

Hello UNYOC Executive,

Please find attached to this email the meeting agenda and related documents for our Summer Executive Meeting to take place June 21, 2022 9:30 AM to 12:30 PM.

For this meeting I am trying something new, and if we decide we like it, we may need to officially approve the method as an executive committee. Historically, this meeting has been an in-person day-long meeting. Since we only have 3 hours, and in the interest of prioritizing our meeting time *only* for items that require discussion, I have created a consent agenda.

A consent agenda<https://www.councilofnonprofits.org/sites/default/files/documents/a3e8abbfab7a4d088d56ba3e563c6c061.pdf> groups the routine, informational agenda items into a single item for the committee to approve. These items are presented as a single motion for approval by the committee after allowing anyone to request that a specific item be moved to the full agenda for individual attention. For example, if one member has questions or concerns about an item on the consent agenda, it will be removed from the consent agenda and added as an item in the full agenda for committee discussion or decision-making. Please note that general or clarification questions about a consent agenda item may not require the item to be moved to the full agenda.

Using a consent agenda requires a bit more pre-meeting work but is an excellent way to streamline a live meeting. I have attached a mid-year report that includes an update from each of our executive committee members and working groups, including members who have typically been given time to share their updates verbally. Please take some time before the meeting begins to review the mid-year reports, as well as the meeting minutes from our previous meeting and any other relevant documentation (attached).

At the start of our meeting I will ask if there are any items on the consent agenda that any member wishes to discuss with the committee. Short, pointed questions might not warrant removal of an item from a consent agenda, but if it becomes apparent that action items, motions for approval or in-depth discussion are required, then we’d remove it.

Once items have been moved to the full agenda (if any are selected for removal), I will move that the consent agenda be approved (effectively moving that we accept all updates/reports included in the consent agenda simultaneously).

So, kindly find included here the Agenda, minutes from our previous exec meeting, and all relevant documents for the consent agenda in preparation for our meeting.
